Entities
The dossier templates contain entities with dictionaries. These define what is going to be redacted in the dossiers linked to the respective dossier template.
How to get there:
User menu > Settings > Dossier Templates > Select dossier template > Entities
A list of entities will be displayed:

Inside each entity, you will find the following tabs:
Info
Dictionary
False Positive
False Recommendations
If the entity does not have a dictionary, only the Info tab is active.
What can you do?
How to create a new entity:
Click + New Entity at the top (next to the search bar).
The Create Entity dialog opens.
Complete the dialog box to define the entity's properties. Mandatory fields are marked with a red asterisk.
Finally, click Save Entity.

Guide:
Technical Name/Display Name: | The technical name is automatically generated from the display name you enter. |
Rank: | Decide how to rank the new entity in the entity ranking. |
Hex Color: | Specify in which color the redactions or hints that the RedactManager sets starting from this entity shall be marked. Enter the hex code of the color or click the pencil icon to select a color. |
Recommendation Hex Color: | Specify in which color recommendations that are based on this dictionary shall be highlighted in the editor. |
Redaction/Hint: | Indicate whether the entries in the entity shall be considered redactions or hints. (Notes are markings in the document that draw the user's attention to certain facts.) |
Default Reason: | Enter a default reason for redactions/hints that are based on this entity. |
Description: | Enter a description. |
Has dictionary: | Enable the toggle if you want the entity to have a dictionary. Not every entity must contain a dictionary. It is also possible to store only rules. |
Case Sensitive: | Here you can choose whether the RedactManager shall be case-sensitive when parsing and redacting documents based on the entity at hand. Check the box if you want to be case sensitive. |
Enable 'Add to dictionary': | Check this box if you want to allow users to add new entries to the entity's dictionaries. |
How to change the properties of an existing entity or how to delete an entity:
Hover over the dossier templates list.
Stop on the dossier template you would like to edit or delete without clicking on it.
The Edit and the Trash icons appear on the right.
Click on the respective icon.
A dialog opens. It looks exactly like the Create Entity dialog.

Caution!
Be careful with deleting entities! If you delete an entity, the redaction mechanism may no longer work as intended.
Click on an entity to open it. In the Info tab, you can view and edit the entity's properties.
The window is similar to the Create new entity dialog. For further information, please see: Create new entityEntities
Click on an entity to open it. In the Dictionary tab, you can view the entity's dictionary and edit and add dictionary entries. You can download the respective dictionary as a text file by clicking the Download button .
What can you do here?
Would you like to add a new dictionary entry or edit an existing entry? How it works:
Click on the dictionary entry you would like to edit.
You can now edit the entry.
If you want to add a new entry, click on the entry below which you want to insert the new entry.
Press the Enter key.
RedactManager inserts a new line. You can now enter the new dictionary into this new line.
Finally, click Save Changes (or Revert if you have changed your mind).
Both buttons appear at the bottom right as soon as you have made a change.
Are you looking for a particular dictionary entry?
Enter it into the search bar right above the list of dictionary entries.
If your search term appears more than once in the dictionary, you will see two arrows that allow you to jump to the respective entries.
Would you like to compare two dictionaries with each other? Only a few clicks are required for a comparison:
Tick the Compare checkbox in the bar above the dictionary entries (next to the search bar).
That will enable the first drop-down menu.
Select the dossier template containing the dictionary you would like to compare to the current dictionary from the first drop-down menu.
Next, select the dictionary you want to compare to from this second drop-down menu.
The selected comparison dictionary will then appear to the right of the current or active dictionary. Entries that are only available in the current or active dictionary are highlighted in green in the comparison view. Entries that are only available in the comparison dictionary are highlighted in red.

Good to know:
Entries that are only available in the current or active dictionary are highlighted in green in the comparison view.
Entries only available in the comparison dictionary are highlighted in red.
The following applies to the active dictionary (on the left): You can also change and delete entries and add new entries in the comparison view. This works exactly as described above.Entities
It is not possible to edit the comparison dictionary (on the right) in the comparison view.
Click on one of the entities to open it. In the False Positive tab, you can view and edit the entries of the false-positive dictionary.
If a user marks an automatically generated redaction as false positive in the RedactManager Editor, the system will memorize that no redaction shall be performed in this specific context. The respective information is stored in the entity's false positive dictionary.
The false positive dictionary is similar to the entity dictionary.

Edit a false-positive entry
Click on an entity to open it. In the False Recommendations tab, you can view and edit the entries of the false recommendations dictionary.
Based on the stored rules, RedactManager generates redaction recommendations AI-based results are always issued as a recommendation. Users can control which of the AI-based redaction recommendations they want to adopt.
If a user marks a recommendation as false positive in the Editor, the system memorizes that the recommendation is false in this specific case. The recommendation is included in the corresponding entity's False Recommendations dictionary.
