Suggesting and approving manual redactions and dictionary entries
Manual redactions and edits in RedactManager follow a 2-step process:
The Reviewer makes a suggestion (e.g., redactions and dictionary entries).
The Approver approves or rejects the suggestions.
As an Approver or Dossier Owner, you can add redactions and dictionary entries without suggesting first. Just follow the steps described below.
Automatic redactions are generated automatically by the system. In addition, you can also redact manually.
How it works:
You open a document Editor. You hold the User role and have been assigned to the document as the Reviewer.
In the Standard view, you can mark text directly in the document. A feature box opens.

Mark a text passage and click on the Redaction icon to manually redact the selected text. The Request Redaction dialog opens:
Select the Reason for redaction from the drop-down menu. This field is mandatory. The Legal Basis field will be filled automatically.
You can leave a comment in the Comment box.
Click Save to confirm.

A new annotation (Manual Redaction) appears in the Workload. The manual redaction is highlighted in gray in the document. Depending on your permissions, Undo or Remove only here
icon appears both in the Workload annotation and in the document itself.
Click the Undo icon
to remove the manual redaction.
Click the Remove only here icon
to remove exactly this redaction. The Remove Redaction dialog opens.
Click the Yes, proceed and remove! button to remove the redaction from this position.
Approve redaction:
You are the Dossier Owner or Approver of the document in which you want to approve a suggested redaction. You open the document in the Editor and access the page that contains the redaction. The document has the Under Approval status.
As the Approver or the Dossier Owner, you approve or reject the Reviewer's suggestions.
First, select the suggestion in the document.
You can accept the suggested redaction by clicking the Confirm icon , or reject it by clicking the reject icon
. You can also undo the suggestion by clicking the Undo icon

Accept or reject suggested redaction
Once you approve a suggested redaction, the marking in the text and the respective annotation change: The "Suggested redaction" turns into a "Redaction".
Once you reject a suggested redaction, the marking in the text and the respective annotation change: The "Suggested redaction" turns into "Declined suggestion".
You can approve rejected suggestions at a later point if you want. The text passage will then be redacted.

Rejected redactions can still be approved later
You can also select and redact larger areas in the document – such as graphics, logos, and text paragraphs – in RedactManager.
Reviewers have to suggest rectangle redactions. They will then be approved by the Approver. (For further information, please see Suggest and approve redactions)
The rectangle redaction icon is located right of the zoom feature.

Manual rectangle redaction
How to redact an area:
Click the Rectangle icon to enable rectangle redaction.
The cursor will turn into a cross.
Click on a point. Keep the left mouse button pressed and start drawing a rectangle.
The rectangle is highlighted in gray.
Release the mouse button when you have marked the area you would like to redact.
The selection box will have a blue frame with dots. Click and drag one of the dots to enlarge or reduce the selected area.
The Redaction icon
is displayed below the selected area.
Click the Redaction icon to redact the selected area.
Depending on your permissions, either the Suggest Redaction or the Redaction form will open. Mandatory fields are marked with a red asterisk.
Fill in the form. It is similar to the text redaction form. You can find a detailed description here.
Select the redaction reason from the Reason drop-down. This field is mandatory. The Legal Basis field will be filled automatically.
You can leave a comment in the Comment field.
If you want to apply the same rectangle redactions on multiple pages, check Apply on multiple pages and specify on which pages you want to redact the selected area.
Click Save to confirm.
You want to remove your redaction or change it afterward? To do so, click on the redacted area.
If you have the User role, the Undo icon will appear. Click it to remove the rectangle redaction. (You can also find the icon in the respective annotation in the Workload).
If you hold the Manager role, the Resize, Edit, and Trash icons will appear. By clicking on the respective icon, you can enlarge/reduce the redaction area, change the redaction reason or delete the redaction.

Manually selected area
You open a document Editor. You hold the User role and have been assigned to the document as the Reviewer.
Use the mouse to select a text passage in the document.
A small menu bar opens. It offers four editing options.
Click Suggest Dictionary Entry to suggest a new dictionary entry.
Adding to the dictionary means that the respective term will be redacted everywhere. So, if you add an entry to the dictionary, it may also affect pages that you have already worked on, or even documents that other users are working on. Only documents that have already been approved will not be changed during the respective reanalysis.

The "Request add to dictionary" dialog opens. Select a dictionary from the list, add a comment, and save your selection.
Good to know:
You can only choose from the dictionaries that have the Enable 'Add to dictionary' option enabled. Only users with the Admin role can enable this option (in their user menu and profile).

Undo a suggested dictionary add in the Workload
You can remove a suggestion by clicking the Undo icon in the respective annotation.
Approve dictionary entries
You have the Approver or Dossier Owner permission for the document. You are working in the Editor. Open the page that contains the suggested dictionary entry you would like to approve. The document is Under Approval.

As the Approver or the Dossier Owner, you approve or reject the Reviewer's suggestions. Select the suggestion in the document. You can accept the suggested dictionary entry by clicking the Confirm icon , or reject it by clicking the reject icon

Accept or reject suggested dictionary entries
If you accept the dictionary entry, the marking in the text and the annotation change: The "Suggested dictionary add" turns into a "Redaction" or a "Hint" (depending on the chosen dicitionary).
Reanalysis after adding new dictionary entries:
When a new entry is added to a dictionary, RedactManager automatically reanalyzes the affected documents in the background.
