Reviewing and editing annotations
As Reviewers and Approvers, you check the markings and annotations generated by RedactManager. You can edit them and add further redactions if necessary. Click on a marking in the text or hover over an annotation in the Workload to display the available editing options.
Good to know:
RedactManager does not always display all the editing options.
Example: Dictionary-based redactions offer you different options than rule-based redactions.

Manual review of redactions
Resize
:Change the size of a redaction.
Click on the button. A selection box appears. Drag it over further letters or reduce its size.
Confirm your selection by clicking on the checkmark. In the case of dictionary-based redactions, you can decide in the respective dialog whether to add the new value to the dictionary:
Add new value to the dictionary
If you decide to add the new value to the dictionary and it is longer than the old one, a further entry will be added to the dictionary. If the new value is shorter, the old value will be overwritten (because it obviously was wrong).
Edit
:Change the redaction reason and/or the paragraph/location (of the redaction).
A dialog opens.
Select redaction reason: You can change the redaction reason by selecting another reason from the drop-down menu.
Paragraph / Location: The paragraph/location corresponds to the title of the (sub)chapter in which the respective redaction is located. You can change it manually by entering a new value.
The value shown here is generated automatically in the case of automatically generated text redactions. In the case of manual and rectangle redactions, the value is entered manually when adding the redaction.
Remove from Dictionary
:Delete the entry from the dictionary.
Click on the button. A dialog opens, and you can add a comment and confirm that you want to delete the entry from the dictionary.
Removing an entry from the dictionary means that the respective term will not be redacted in any active document that applies the respective dossier template. So removing entries from the dictionary will affect pages you have already worked on, and even documents that other users are working on.
Only documents that have already been approved will not be changed during the reanalysis that is triggered by the change to the dictionary.
It is not possible to completely remove authors from the dictionary using the Remove from Dictionary feature. In the case of further questions, please get in touch with your Admin.
False Positive
:Mark the term as false positive so it will not be redacted in this context and stored in the false-positive dictionary.
You might need this feature in the case of terms that can have several meanings (e.g., names that can also have another meaning).
The term will be stored in the dossier template's false-positive dictionary. For further information on false positives, please see Entities
Remove only here
:Remove exactly this redaction.
Click on the button. A dialog opens, and you can insert a comment and confirm that you want to delete the redaction from this position. The highlighted word will not be redacted at this position in the document. This change will not affect other parts of the document and/or other documents. In other words: The term is redacted elsewhere.
The comment button 
can be found in the lower left corner of each Workload annotation. Click on it to leave an explanation or a note for yourself or your colleagues.

Recategorize
:Change the image category.
The "Edit Image Type" dialog opens, and you can select the correct image category and add a comment.
Hide
:Hide the marking placed over the image to improve the visibility of the image. Click Show
to display the marking again.
The other editing options are the same as for the other redactions.
Skipped redactions (or "Skipped" only) are terms that, according to the dictionary, do not need to be redacted in this particular context.

Remove from dictionary
:Remove the term from the dictionary. The term will no longer be labeled as skipped redaction.
This option is only available for dictionary-based skipped redactions.
The remove from dictionary triggers a reanalysis of all active documents that apply the respective dossier template.
Force Redaction
:Use this option to redact the term anyway.
Click on the button. The "Force Redaction" form opens. Mandatory fields are marked with a red asterisk, and you can leave a comment in the Comment box.

Resize redaction
:Change the size of the image redaction.
Click on the button. A selection box appears. Drag it over further parts of the page or reduce its size. Confirm your change by clicking on the tick button that appears.
Recategorize image
:Change the image category.

:Click on the button. The "Force Redaction" dialog opens. Mandatory fields are marked with a red asterisk. You can leave a comment in the Comment box.
Hide hint
: Hide the marking placed over the image for better visibility. Click Show
to display the marking again.
Good to know:
Click Select to bulk-select several annotations.
Hints provide helpful information. The respective text passage will not be redacted, however.
Resize
:Change the size of the hint.
Recategorize
:You can manually change the category of an image. That is useful if the category cannot be identified clearly.
Click on the button. The "Edit Image Type" dialog opens. Select the correct image category, and add a comment if you wish.
Remove from Dictionary
:The hint will no longer be placed in the future and will be removed from all active dossiers that apply the respective dossier template.
Before selecting this option, please remember that text passages marked with a hint will not be redacted in the final document. However, the hint might be helpful on future occasions.

Hide
:Hide the respective marking in the document. Click Show
to display it again.
Good to know:
RedactManager does not always display all the editing options. In the case of dictionary-based hints, you can choose from other options than in the case of rule-based redactions.
RedactManager distinguishes the following image categories:
Chemical formulae, logos, and signatures: Rules have been defined for these image types. Whether these images are redacted or skipped depends on the rules that have been defined.
Other images: RedactManager currently distinguishes between:
OCR: images that have been converted to text by automatic text recognition. Images in this category do not need to be redacted.
Other images: This category includes all images that do not fall under the previously mentioned categories. Images in this category do not need to be redacted. However, it is recommended to check these images to see if there is any reason for redacting them.

:Change the size of the redaction. Confirm by clicking the checkmark.
Edit
:Change the redaction reason and leave a comment if you wish.
Recategorize
:Change the category of an image manually. That is useful if the category cannot be identified clearly.
Click on the button. The "Edit Image Type" dialog opens. Select the correct image category, and add a comment if you wish.

:Remove exactly this redaction. Other instances of this image will be redacted.
Hide
: Hide the marking that is placed over the image for better visibility. Click Show
to display the text marking again.In the case of OCR hints, Hide is enabled by default.
RedactManager generates redaction recommendations based on its AI models and the rules defined in the dossier templates.
AI-based results are always labeled as recommendations. You can accept a recommendation to redact the respective passage.
Recommendation
Resize
:Change the size of the recommendation.
Accept
:If you accept a recommendation, the respective text passage will be redacted.
Click on the button. The "Accept recommendation" dialog opens. Decide whether you want to add the relevant term to the suggested dictionary or select a different dictionary from the drop-down menu.
Accept recommendation
No action is required in case you do not want to implement a recommendation. The text passage will not be redacted as long as it is flagged as a recommendation.
False-positive
:Mark a recommendation as false positive if you no longer wish to receive it in a similar context.
The term will be stored in the dossier template's false recommendation dictionary. For further information on false recommendations, please see our Admin Manual: False recommendations
Imported redactions are redactions that have been imported from an earmarked document, from a preview document created with any redaction tool, or from a redacted document.
For further information and how to import redactions, please see Import redactions and earmarks.

References show connections between related annotations.
They will only be displayed if the rules are configured accordingly.

A small list appears to the left of the Workload. It shows all annotations that are related to the selected annotation.
