How do I log in?

Enter the URL you received from your admin or supervisor. The RedactManager login dialog Opens. Enter your username and password and click Login. For further information, please see Login.

How do I change my password?

You can change your password in your user account.

3.

How do I get access to a dossier? How do I become a dossier member?

A user with the Manager role adds you as a dossier member. Users with the Manager role can add themselves as dossier members. See Create a new dossier and Dossier members.

Why can't I edit documents in a dossier?

You do not have the necessary permission. Only dossier members can edit documents, and only Dossier Owners and Approvers can edit a document with the Under Approval status. For further information, please see Document features (list view).

How do I become the Reviewer of a document?

As a user holding the User role, you can assign yourself to a document that has not yet been assigned a Reviewer. To do so, you need to be a member of the respective dossier. Users with the Manager role can assign themselves and other users as Reviewers to a document. For further information, please see Document features (list view).

How do I become the Approver of a document?

When Reviewers set a document to Under Approval, they can select an Approver if more than one user has the Approver permission for the document. If only one user has the Approver permission, that user is automatically assigned as the Approver. Only the Dossier Owner and Managers can grant the Approver permission to users, for example, during dossier creation or in the Edit Dossier dialog. What status can a document have? What's the difference between the document and the dossier states?

The document states are New, Under Review, Under Approval, or Approved. New: The document is new and unedited. No Reviewer has been assigned yet. Under Review: The document is being reviewed by a Reviewer. Under Approval: The Approver is reviewing the Reviewer's work. Approved: The Approver has completed their work and released the document. The dossier list shows the document status of the dossier documents. For further information, please see Information on dossiers.

The document states are predefined in the system. However, Admins can define dossier states that reflect the internal dossier lifecycle. The Dossier Owner can then set the dossier state. For further information, please see Edit Dossier: Dossier Info.

Why can't I set the status of a document to Approved?

You do not have the necessary permission. Only the Dossier Owner and members with the Approver permission can set the status of a document to Approved. See Document features (list view).

Why can't I become the Reviewer of a document?

You do not have the necessary permission. Only dossier members can be assigned as Reviewers to a document.

How can I become the Reviewer of a document that is already assigned to another user?

You can assign yourself as a Reviewer to a document. If another Reviewer has already been assigned to the document, the respective user will be notified. For further information, please see Document features (list view).

11.

Why can't I see all the dossiers?

A. Did you perhaps activate a filter limiting the number of displayed dossiers? Documents that do not fall under the selected filters will not be displayed. For further information, please see Filter the dossier list.

B. The admin has restricted the dossier permissions to allow only dossier members to see the dossiers.

Why don't I see all documents?

A filter that limits the number of displayed dossiers is enabled. Documents that do not fall under the selected filters will not be displayed. For further information, please see Filter the document list.

13.

Why is the download button disabled?

A. You do not have the Dossier Owner or the Approver permission for the dossier. Only the Dossier Owner and Approvers can download documents and dossiers.

B. The initial analysis is not yet completed.

14.

How do I reset selected filters in the dossier or document list?

Deselect the filter by clicking on it again, or click the Reset filter button. For further information, please see Filter the dossier list and/or Filter the document list.

15.

Why can't I become the Owner of a dossier? Why can't I add dossier members?

You do not have the necessary permissions. Only users with the Manager role can become Dossier Owners and add members to a dossier. See Dossier members.

16.

How do I get Manager rights?

Users with the Admin or the User Admin role can assign you the Manager role.

17.

How can I add a digital signature to the redacted files?

RedactManager automatically adds a digital signature to the redacted PDF documents if a user with the Admin role has uploaded the respective certificate.

18.

Why is a watermark shown on the redacted PDF files?

The watermark option for the redacted PDF documents has been enabled during dossier creation or in the "Edit Dossier" dialog. For further information, please see Create new dossier. Only Admins can edit the watermark.

19.

Why are the PDF files and the preview files in my download package marked with "Redacted with RedactManager!"?

You used RedactManager without a license or with a trial license only.

How can I search for documents?

A. Use the search bar in the top right corner. For further information, please see Searching the application.

B. Use the Document Name filter to filter the document list. For further information, please see Filter the document list.

How can I search for text within documents?

Use the search functionality (magnifying glass icon in the PDF feature bar) in the Editor. For further information, please see Search document and copy text selection.

Why does RedactManager not always offer the Remove from dictionary option?

This option is only available in case of dictionary-based redactions, hints, and skipped redactions and not in case of rule-based redactions, hints, and skipped redactions. There is no dictionary entry that could be removed in case of rule-based redactions.

23.

I want to set the status of a document to "Approved" but get the following message: "This document has unseen changes". What does that mean?

Adding entries to the dictionary or removing entries from the dictionary can also affect pages that you have already worked on, and documents other users are working on. The application recognizes if a dictionary add or removal has led to a change on a page you have already visited. If you want to approve the document, you will be warned that there are still unseen changes. For further information on unseen changes, please see Delta View.

An image repeatedly appears in the document. However, according to RedactManager, it will be redacted only at one position. Why is the image not be redacted everywhere?

The image will be redacted at all positions in the final document. The PDF structure does not contain individual images, but one that appears in different places. The RedactManager user interface, therefore, only shows one redaction.

25.

Why does the panel view in the Editor (thumbnail view on the left) show only the markings/annotations of the current and previously visited pages?

Markings and annotations are loaded on demand (pagewise). That allows the application to load the documents faster because not all markings and annotations have to be loaded when opening a document.

The panel view therefore only shows the markings that have already been loaded. If you click on an unvisited page in the thumbnail view, the markings will be loaded and appear.

Click the Load all annotations button in the panel view to load all annotations at once.

26.

Why does a browser refresh reset the display in some cases?

Refreshing the page is equivalent to restarting the app. RedactManager is a single-page web application whose content reloads dynamically (on demand and pagewise).

Example #1: The markings in the Editor's panel/thumbnail view are loaded once you visit the respective page or click on a thumbnail. They will be reset when you refresh the browser.

Example #2: When you are watching the Preview of your document, refreshing the page will return you to the Standard view.

We, therefore, recommend not refreshing the browser.

Can I move an active dossier to another dossier template?

No, that's not possible.

How do I edit a dossier template?

Only Admins can edit dossier templates.

29.

How can I edit and download dictionaries?

Users with the Manager role can view and download dictionaries in the settings.

Only users with the Admin role can edit the dictionaries directly. Other users can add dictionary entries by using the Add to dictionary feature in the Editor.

How can I download and edit the redaction report templates?

Users with the Manager role can view and download report templates in the Settings section.

Only users with the Manager role can edit the report templates.

How do I start the review of a document?

You can start reviewing a document once you are assigned as the Reviewer. Only dossier members can be assigned as the Reviewer. As a dossier member, you can be assigned by other dossier members or you can assign yourself to the document. For further information, please see Document features (list view).

Where can I see which documents have already been reviewed?

The status of a document shows you if the document has already been reviewed. The Reviewer changes the document's status to Under Approval once the review is completed. The status of documents that have not yet been assigned a Reviewer is New. The status of documents that are under review is Under Review.

How do I change the status of a document?

Click the checkmark icon in the document features (document list or Editor). Users with the Reviewer permission can change the status of a document from Under Review to Under Approval. Users with the Approver permission can change the status of a document from Under Approval to Approved and back. For further information, please see Document features (list view).

Why can't I add another dossier member as the Reviewer?

Please check if you are a dossier member yourself. Only dossier members can assign a Reviewer to a document. For further information, please see Document features (list view).

How do I add a manual redaction?

Select the respective text passage in the Editor and choose Manual Redaction. Only users assigned to the document as the Reviewer or the Approver can suggest manual redactions or carry them out directly. You must be a dossier member to get the Reviewer or Approver permission. For further information, please see Suggest and approve manual redactions and dictionary entries.

How can I add entries to the dictionary or remove entries from the dictionary?

Select the respective text passage in the Editor and choose the Add to dictionary feature. Only users assigned to the document as the Reviewer or the Approver can suggest new entries or add dictionary entries to dictionaries. You must be a dossier member to get the Reviewer or Approver permission. To remove a dictionary entry, click the highlighted text passage in the document and select the corresponding option. 37.

How do I start the reanalysis of a document?

The reanalysis of a document is triggered automatically and carried out in the background unless you have deactivated the auto-analysis. If the auto-analysis is disabled, you can run the reanalysis manually, or restart the auto-analysis. For further information, please see Document features.

Can I restore a deleted dossier?

As a Manager, you can restore a deleted dossier via the Restore feature in the Trash. The default retention time is 96 hours and can be changed by the Admin.

How do I change the category of an image?

You can change the category of an image by clicking the Recategorize icon that appears below the image marking or in the respective annotation in the Workload. For further information, please see Recategorize images.

40.

How do I edit the dossier attribute values? How can I create a new dossier attribute?

If you have the Manager role, you can enter and edit the values of the dossier attributes in the Dossier Attributes tab of the Edit Dossier dialog. For further information, please see Edit Dossier: Dossier Attributes.

Only Admins can create new dossier attributes.

How do I suggest a dictionary entry?

Users with the Reviewer permission and the User role can select text in the Editor and suggest dictionary entries using the Request dictionary entry feature. For further information, please see Suggest and approve dictionary entries.

How do I suggest a redaction?

Users with the Reviewer permission and the User role can select text in the Editor and suggest dictionary entries using the Request redaction feature. For further information, please see Suggest and approve redactions.

How do I become the Approver of a document?

The Dossier Owner or a Manager needs to add you as a dossier member and grant you the Approver permission.

When users set a document to Under Approval, they can select an Approver.

If only one user has the Approver permission, that user is automatically assigned as the Approver. See Edit Dossier: Members.

44.

How do I change a document to Under Approval?

The Dossier Owner and users assigned to a document as the Reviewer can change the status of a document from Under Review to Under Approval by clicking the checkmark icon in the document features. For further information, please see Document features (list view).

45.

How do I change a document to Approved?

The Dossier Owner and users assigned to a document as the Approver can change the status from Under Approval to Approved by clicking the checkmark icon in the document features. For further information, please see Document features (list view).

46.

How can I exclude information from redaction if I do not want it to be redacted in any document?

That depends on whether the redaction is rule- or dictionary-based.

1. If the redaction is dictionary-based, choose the “Remove from dictionary” feature in the editor.

2. If the redaction is rule-based, please ask your Admin to add the item to the false-positive dictionary. If you mark it as false-positive, it will be redacted unless it occurs in the same context. Only an Admin can add the exact term (without context) to the false-positive dictionary, so it will not be redacted in any document regardless of context.
