This glossary contains and explains the RedactManager terminology.

Action | An action or feature that is carried out in RedactManager. | |
Administrator role | Admin, Administrator, Administrator role | The Administrator role does only have administration permissions for RedactManager. The Admin mainly creates new users and Dossier templates as an administrator. |
Analysis | The uploaded documents are analyzed and redacted based on the basis of the Dossier template and the dictionaries. An automatic re-analysis is carried out in case of changes to the dictionaries and the Dossier template. | |
Analysis pending | If changes have been made to the Dossier template and/or the dictionaries in a document, the document is given the status Analysis pending. This means that the document has to be analyzed before it can be released. | |
Annotation | Redactions, hints, and suggestions are also referred to as annotations. | |
Approved | When the Approval process of a document has been completed, the Approver changes the document's status to Approved. | |
Approver | The Approver permission allows the user to work on documents, perform redactions, and approve suggestions for redactions and dictionaries. The primary task of users with Approver permission is to check and finally approve documents and to download approved documents. | |
Assigned | assigned user | Users must be assigned to a Dossier in order to edit documents as Reviewers or Approvers and to act as Dossier Owners within the Dossier. |
Comment | Comments on redactions and suggestions are used for internal communication during editing and during the review process. | |
Dashboard | Information on the existing Dossiers and the documents in a Dossier is displayed in the dashboard. Both in the Dossier Overview and in the Dossiers, there is a dashboard on the right of the page. | |
Delta view | The Delta view in the Editor shows all unseen changes occurred since your last visit to the page. | |
Dictionary | A rule set can refer to dictionaries containing the terms to be redacted and exceptions to redactions. Some of the dictionaries are built automatically when analyzing the documents, while others are created and maintained manually. | |
Digital signature | In RedactManager, documents can be provided with a digital signature. A digital certificate is required and has to be uploaded to the user administration. Only Admins can upload the digital certificate. | |
Document | PDF, PDF document, file | Only PDF documents can be processed in RedactManager. |
Dossier | In RedactManager, related documents are grouped thematically in Dossiers instead of filing them individually. A Dossier is a container and thus contains all documents on a given topic. | |
Dossier attribute | Highlight a word or text passage in the text. | |
Dossier dictionary | RedactManager automatically creates an individual dossier dictionary for each dossier. You can access the dictionary via the dashboard of the respective dossier. | |
Dossier Member | A user assigned to a Dossier is also referred to as a Dossier Member. The Dossier Owner and all Reviewers and Approvers of a Dossier are Dossier Members. | |
Dossier Owner | The Dossier Owner permission allows the user to create, own and manage Dossiers. The Dossier Owner can also be called the project owner. | |
Dossier template | When creating a new Dossier, the user has to select a Dossier template. The rule set and the associated dictionaries that apply to the documents in this Dossier are defined in this Dossier template. | |
Download | When downloading, the redacted document is output as a PDF document as part of the download package. | |
Download package | Depending on the settings, a download package contains the original document, the redacted document, the preview document, and the forms of justification for the redactions made. | |
Due Date | When creating a Dossier, you can set a due date for completing the redaction work in RedactManager. | |
False positive | If a term or text passage is not to be redacted in a certain context, it is marked as a false positive. That is necessary in case of exceptions to the applied dictionaries. | |
File | document | File refers to PDF documents in the case of RedactManager. |
File attributes | File attributes are document-specific metadata like the title, the number of pages, and the document number. They can also serve as filters. | |
Filter | You can filter both RedactManager Dossiers and documents by different criteria. There are filter options in the Dossier Overview and the dossiers. | |
For Approval | When the review of a document is complete, the Reviewer changes the document's status to Under approval. | |
Hint | Hints draw the user's attention to important information. However, they do not contain any direct instructions. | |
Image | The RedactManager automatically recognizes images and categorizes them. It distinguishes between logos, formulae, signatures, and (other) images to be redacted. Images classified as "other images" will not be redacted. | |
Manager role | Manager | The Manager has permissions for all functionalities in RedactManager except administration. With the Manager role, you can primarily create, own, and manage Dossiers. |
Manual redaction | Text passages can be redacted manually. That is useful if a text is not redacted based on the rules and dictionaries but due to additional provisions. | |
My Downloads | All downloaded Dossiers and documents are displayed under My Downloads. | |
New | Documents that have been recently uploaded and not yet edited have the New. | |
Notifications | Notifications inform the users about changes in the application that affect them directly. | |
OCR (Optical Character Recognition) | A scanned document that is available as an image file can be converted into a text document by means of automatic text recognition. | |
Optimized document | An uploaded PDF document is automatically optimized in its PDF structure and file size. If OCR was applied, the recognized text is also included. | |
Preview | The Preview in the Editor shows the redacted document. The Dossier Owner or an Approver then has to accept or reject the suggestions. | |
Recommendation | RedactManager automatically provides recommendations for redactions based on the existing dictionaries. The Reviewer can take these recommendations into account and perform manual redactions accordingly. | |
Redaction | Redactions make terms and text passages unrecognizable. | |
Redaction reports | report | Redaction reports contain the redactions that were performed in the Dossier. The reports can contain an Excel document for each Dossier document or for all Dossier documents. If needed, the redaction report includes a Word document with additional information about the redactions. Redaction reports are included in the download package of a dossier. |
RedactManager | The name of the application. | |
Remove redaction | You do not want to redact a word or text passage in a certain context because of a deviation from the dictionaries. In that case, you can only suggest removing a redaction as a Reviewer. As Dossier Owner or Approver you can remove the redaction manually. | |
Report templates | Report templates are templates for redaction reports. | |
Review | During the review, the automatic redactions generated by RedactManager are checked and complemented as needed. | |
Reviewer | The Reviewer permission allows the user to work on documents and to suggest redactions and dictionary entries. | |
Role | RedactManager features are linked to roles. Each user must have a role in order to work in RedactManager. See also: User role, Manager role, and Administrator role. | |
Rule | Documents are automatically edited according to a rule. | |
Rule set | A rule set defines the rules according to which RedactManager carries out the automatic redaction of documents. | |
Standard view | The Standard view in the Editor is mainly intended for editing. | |
Status | The status of a document shows which work steps can be carried out. The different status categories are: New, Under Review, Under Approval and Approved. | |
Suggested dictionary entry | A Reviewer can suggest dictionary entries. | |
Suggested redaction | Reviewers can only suggest manual redactions. They must specify the legal basis for the redaction and include a comment to justify it. The Dossier Owner or an Approver then has to accept or reject the suggestions. | |
Trash can | Deleted Dossiers are displayed in the trash can in the user menu and profile. A Manager can restore them within 96 hours. After this period, deleted Dossiers are automatically deleted permanently. | |
Unassigned | A document is considered Unassigned if no Reviewer or Approver is assigned. The Assignee column in the document list shows a question mark in this case. | |
Under Review | A document moves to the Under Review status if a Reviewer is assigned to it. | |
Updated | When the Dossier template and the dictionaries in a document have been analyzed, it is given the Updated status. | |
User account | To be able to work in RedactManager, users need an active user account they can log in to with their username and password. An Admin and a User Admin can create a new account. | |
User admin | The User Admin role combines the permissions of the Admin with the permissions of the User role. This is how an Admin can work in RedactManager. | |
User profile | profile | The user profile of a user is managed in the user area. The user area is located at the top right corner of all levels of RedactManager. |
User role | The User role concentrates on editing documents and does not have authorizations for all features in RedactManager. With the User role, you are not allowed to create, own or manage Dossiers. | |
Watermark | Documents in RedactManager can be watermarked to ensure the authenticity of the redacted documents. When creating a new Dossier, the watermark application must be enabled to watermark the documents. Otherwise, the watermark will not be applied. Only users with the Admin role are allowed to edit the watermark. | |
Workload | The Workload shows the automatically and manually created annotations in the documents. |
