Enter the URL you received when setting up RedactManager into your browser. The RedactManager login window will open. Enter your username and password and click Login. For further information, please see Login. | |

A user with the Manager role assigns you to a dossier. Users with the Manager role can add themselves as Dossier Members. Each user has access and reading permission for all Dossiers. See Create a new dossier and Dossier members. | |
4. | Why can't I edit documents in a dossier? |
You do not have the necessary permission. Only Dossier Members with the Dossier Owner, Reviewer, or Approver permissions can edit documents. Only Dossier Owners and Approvers can edit a document with the Under Approval status. For further information, please see Document features (list view). | |
5. | How do I become the Reviewer of a document? |
As a user holding the User role, you can assign yourself to a document that has not yet been assigned a Reviewer. To do so, you only need to be member of the respective dossier. Users with the Manager role can assign not only themselves but also other users as Reviewers to a document. For further information, please see Document features (list view). | |
6. | How do I become the Approver of a document? |
When Reviewers set a document to Under Approval, they can select an Approver if more than one user has the Approver permission for the document. If only one user has the Approver permission, that user is automatically assigned as the Approver. Only the Dossier Owner and Manager can grant the Approver permission to users. During dossier creation, the creator of the dossier can grant the Approver permission to users. At a later stage, the Approver permission can be granted to the users by editing the dossier properties. For further information, please see Dossier members. | |
7. | What status can a document or dossier have? How do the states differ? |
A document can have the status New, Under Review, Under Approval, or Approved. New: The document is new and unedited. No Reviewer has been assigned yet. Under Review: The document is being reviewed by a Reviewer. Under Approval: The Approver is reviewing the Reviewer's work. Approved: The Approver has completed their work and released the document. The dossier overview shows the document status of the documents contained in the dossier. For further information, please see Information on dossiers. The document statuses are predefined by the system. Admins can also define their own dossier states in order to reflect the internal dossier lifecycle. The dossier owner can then set the dossier status. For further information, please see Edit Dossier:_Dossier Info. | |
8. | Why can't I set the status of a document to Approved? |
You do not have the necessary permission. Only Dossier Members with the Dossier Owner or Approver permissions can set the status of a document to Approved. See Document features (list view). | |
9. | Why can't I become the Reviewer of a document? |
You do not have the necessary permission. Only users who are members of a dossier may become Reviewer of documents in the dossier. | |
10. | How can I become the Reviewer of a document that is already assigned to another user? |
You can assign yourself as a Reviewer to a document. If another Reviewer has already been assigned to the document, the Reviewer is notified. For further information, please see Document features (list view). | |
11. | Why can't I see all the dossiers? |
A. You may have activated a filter that limits the number of displayed dossiers. Documents that do not fall under the selected filters will not be displayed. For further information, please see Filter the dossier list. | |

17. | How to digitally sign the redacted PDF files? |
RedactManager automatically adds a digital signature to the redacted PDF documents. Only users with the Admin role can upload, edit and delete the respective certificate. | |
18. | Why is a watermark shown on the redacted PDF files? |
When creating the dossier, the dossier creator has enabled the watermark option for the redacted PDF documents. For further information, please see Create new dossier. Only Admins can edit the watermark. | |

You have used RedactManager without a license or with a trial license only. | |
20. | How can I search for dossiers? |
Use the Dossier Name filter in the Dossier Overview. All users can use this filter. For further information, please see Filter the dossier list. | |

A. Use the search bar that searches the entire application. It is available to all users, and you can find it on all levels and in all views of RedactManager. For further information, please see Searching the application. | |

23. | Why does RedactManager not always offer the Remove from dictionary option? |
This option is only available in case of dictionary-based redactions (hints, and/or skipped redactions) and not in case of rule-based redactions (hints, and/or skipped redactions). There is no dictionary entry that could be removed in case of rule-based redactions. | |
24. | I want to set the status of a document to "Approved" but get the following message: "This document has unseen changes". What does that mean? |
Adding entries to the dictionary or removing entries from the dictionary can also affect pages that you have already worked on, and documents other users are working on. The application recognizes if there is a change on a page that you have already seen. If you want to approve the document, you will be warned that there are still unseen changes. See Unseen changes. | |

The image will be redacted at all positions in the final document. The PDF structure does not contain individual images, but one image that appears in different places. RedactManager therefore only shows one redaction. | |
26. | Why does the panel view in the editor (thumbnail view on the left) show only the markings/annotations of the current and previously visited pages? |
Markings and annotations are loaded on demand (pagewise). That allows the application to load the documents faster because not all markings and annotations have to be loaded when opening a document. The panel view therefore only shows the markings that have already been loaded. If you click on an unvisited page in the thumbnail view, the markings will be loaded and appear. | |
27. | Why does a browser refresh reset the display in some cases? |
Refreshing the page is equivalent to restarting the app. RedactManager is a single-page web application whose content reloads dynamically (on demand and pagewise). Example #1: The markings in the Editor's panel/thumbnail view are loaded once you visit the respective page or click on the respective thumbnail. They will be reset when you refresh the browser. Example #2: When you are watching the Preview of your document and refresh the page, you will be returned to the Standard view. We, therefore, recommend not refreshing the browser. | |
28. | Can I change the dossier template of an active dossier? |
No, that's not possible. | |

Only Admins can edit dossier templates. | |
30. | How can I edit and download dictionaries? |
Users with the Manager role can view and download dictionaries in the settings. Only users with the Admin role can edit the dictionaries directly. Other users can add dictionary entries by using the Add to dictionary feature in the Editor. | |

Users with the Manager role can view and download report templates in the Settings section. Only users with the Manager role can edit the report templates. | |
32. | How do I start the reviewing process of a document? |
You can start reviewing a document once you are assigned as a Reviewer. Only dossier members can be assigned as the Reviewer. As a dossier member, you can be assigned by other dossier members or you can assign yourself to the document. For further information, please see Document features (list view). | |
33. | Where can I see which documents have already been reviewed and which not? |
The status of a document shows you if the review has already been performed. The Reviewer changes the status of the document to Under Approval after reviewing. The status of documents that have not yet been assigned a Reviewer is New. The status of documents that are under review is Under Review. | |

Click the checkmark icon in the document features. Users with the Reviewer permission can change the status of a document from Under Review to Under Approval. Users with the Approver permission can change the status of a document from Under Approval to Approved and back. For further information, please see Document features (list view). | |

Select the respective text passage in the Editor and choose Manual Redaction. Only users with Reviewer and Approver permissions can suggest manual redactions or carry them out directly. 37. | How can I add entries to the dictionary or delete entries from the dictionary? |
Select the respective text passage in the Editor and choose the Add to dictionary feature. Only users with Reviewer and Approver permissions can suggest new entries or add dictionary entries to dictionaries. You have to be a dossier member to get Reviewer or Approver permission. To remove a dictionary entry, click the highlighted text passage in the document and select the corresponding option. 38. | How do I start the reanalysis of a document? |
You cannot start the reanalysis of a document yourself. It is carried out automatically in the background unless you have deactivated the auto-analysis. In case the auto-analysis is disabled you can run the reanalysis manually or you can restart the auto-analysis. For further information, please see Document features. | |
39. | Can I restore a deleted dossier? |
As a Manager, you can restore a deleted dossier within 96 hours via the Restore feature in the Trash. | |
40. | How can I change the category of an image? |
You can change the category of an image using the Recategorize feature. The Reviewer and the Approver can access this feature by clicking on the image marking in the document or the image annotation in the Workload. For further information, please see Recategorize images. | |
41. | How can I edit the dossier attributes and create new ones? |
If you have the Manager role, you can enter and edit the values of the dossier attributes in the Dossier Attributes tab of the Edit Dossier window. For further information, please see Edit Dossier: Dossier Attributes. | |

47. | How can I exclude information from redaction if I do not want it to be redacted in any document? |
That depends on whether the redaction is rule- or dictionary-based. 1. If the redaction is dictionary-based, choose the “Remove from dictionary” feature in the editor. 2. If the redaction is rule-based, please ask your Admin to add the item to the false-positive dictionary. If you simply mark it as false-positive, it will be redacted unless it occurs in the same context. Only an Admin can add the exact term (without context) to the false-positive dictionary, so it will not be redacted in any document regardless of context.
