This glossary contains and explains the RedactManager terminology.

Glossary

Administrator

Users with the admin role have admin permissions. They can manage the dossier templates, users, and dossier permissions.

Analysis

The uploaded documents are analyzed and redacted based on the dossier template and the dictionaries. An automatic reanalysis is carried out in case of changes to the dictionaries and the dossier template.

Analysis pending

If changes have been made to the dictionaries and/or rules, the documents using the respective dossier template must be reanalyzed. As long as the reanalysis has not been completed, the documents in question have the Analysis pending status.

Annotation

Annotations provide further details on the markings in the text. There are different annotation categories: redactions, hints, recommendations, etc. Annotations can be generated automatically or manually.

Approved

The approver changes the document's status to Approved when its approval process (2-step review) has been completed. Documents with the Approved status can no longer be edited and are excluded from automatic reanalysis.

Approver

Dossier members can be added as reviewers or approvers. The approver is the second pair of eyes that review the document and changes its status to Approved.

Assigned

A document is Assigned when a reviewer or approver has been assigned. Users can only edit a document if they have been assigned to it.

Delta view

The Delta view in the editor shows all unseen changes that occurred since your last visit to the page.

Dictionary

Dictionaries contain terms that shall be redacted. They are included in the dossier templates.

Dossier

A dossier is a document container that contains thematically related documents. Documents must be uploaded to dossiers in RedactManager.

Dossier attribute

Dossier attributes provide additional or supplementary information about documents.

Dossier dictionary

RedactManager automatically creates a dossier dictionary for each dossier. You can access the dictionary via the dashboard of the respective dossier.

Dossier member

Dossier members are users that have been added to a dossier. Only dossier members can be assigned to the documents of a dossier as reviewers or approvers.

Dossier owner

The dossier owner permission allows users to create, own, and manage dossiers.

Dossier template

The dossier template contains the dictionaries and rules based on which RedactManager anonymizes the dossiers that apply it.

Download package

The download package contains the redacted document(s), the preview document(s), and/or the justification report(s) (depending on the settings for the dossier).

False positive

It can happen that a term does not have to be redacted in a particular context. You can mark it as a false positive in these cases.

File attributes

File attributes are document-specific metadata like the title, the number of pages, and the document number. They can also serve as filters.

For approval

The reviewer sends the document For Approval (assigns an approver) when he has finished reviewing the document.

Hint

Hints draw the user's attention to important information. However, they do not contain any direct instructions.

Image

The RedactManager automatically recognizes images and categorizes them. It distinguishes between logos, formulae, signatures, and (other) images to be redacted. Images classified as "other images" will not be redacted.

Manager

Managers have permissions for all features except the admin features. They can create, own, and manage dossiers, and edit documents.

Manual redaction

Manual redactions are redactions that are manually added by users and not generated by RedactManager.

New

Documents that have been recently uploaded and not yet assigned to a reviewer have the New status.

OCR (Optical Character Recognition)

OCR is the conversion of images of text ( e.g. scanned documents) to machine-readable text.

Preview

The Preview in the editor shows a preview of the redacted document. You can decide whether the redactions are shown in the preview color or as in the final document.

Recommendation

RedactManager generates automatic redaction recommendations based on the dictionaries and the KI. Approvers can turn a recommendation into a redaction by accepting it.

Redaction

Redacted text passages will be removed from the final document and replaced by a (black) box.

Redaction reports

The redaction reports list the redactions in a file or document(s). Redaction reports can be downloaded as part of the download package based on custom report templates.

Report templates

You can upload individual report templates for the redaction reports. Upon download, the respective reports will be generated and downloaded along with the redacted documents.

Reviewer

Dossier members can be added as reviewers or approvers. Reviewers can add and remove redactions, and set the document status to "For Approval".

Rule

The rules specify what shall be redacted.

Standard view

The Standard view in the editor allows you to edit the document.

State

Documents can have the following states: New, Under Review, Under Approval, and Approved.

Unassigned

A document is considered Unassigned if no reviewer or approver is assigned. The ssignee column in the document list shows a question mark in this case.

Under review

A document moves to the Under Review status if a reviewer is assigned to it.

Updated

The document has the Updated status as soon as the reanalysis of a document has been completed.

User

The user role focuses on editing documents. It does not allow you to create, own, and manage dossiers.

User admin

The user admin has both the user and admin role. A user with both roles can work in RedactManager and access the admin area to manage the dossier templates and users.

Workload

The workload lists the annotations. The user can review and edit the annotations in the workload.
