B. You lack the necessary permission. Only dossier members can edit documents, and only dossier owners and approvers can edit documents with the Under Approval status. For further information, please see Change document status. | |

To get assigned to a document, you must first become a member of the respective dossier. There are two ways to get assigned: A. You can assign yourself as reviewer to a document. B. 6. | How do I become the approver of a document? |
To be assigned to a document as the approver, you need the approver permission. The dossier owner and managers can grant you the approver permission (e. g. during dossier creation or in the Edit dossier dialog). For further information, please see Dossier members. When reviewers set a document to Under Approval, they can select an approver given that more than one or more dossier members have the approver permission. If only one user has the approver permission, that user is automatically assigned as the approver. | |
7. | What status can a document have? What's the difference between the document and the dossier states? |
The document state refers to a single document, the dossier state to an entire dossier. The document states are predefined in the system as follows and cannot be changed: New, Under Review, Under Approval, or Approved. New: The document is new and unedited. No reviewer has been assigned yet. Under Review: The document is under review by a reviewer. Under Approval: The approver acts as the second pair of eyes. Approved: The approver has completed their work and approved the document. The dossier list and the document list show the document status of the dossier documents. For further information, please see Dossier list and Document list. The document states are predefined in the system. Admins can define dossier states that reflect the internal dossier lifecycle. The dossier owner can then set the dossier state. For further information, please see Edit dossier: dossier info. | |
8. | Why can't I set the status of a document to Approved? |

A. Did you perhaps activate a filter limiting the number of displayed dossiers? Documents that do not match the filter criteria will not be displayed. For further information, please see Dossier filters. | |

RedactManager automatically adds a digital signature to the redacted PDF documents if a user with the admin role has uploaded the respective certificate. | |

Adding/removing redactions to/from a dossier or all dossiers can lead to changes on pages that you have already worked on, as well as documents other users are working on. The application recognizes if a redaction add or removal has led to a change on a page you have already visited. If you want to approve the document, you will be warned that there are still unseen changes. For further information on unseen changes, please see Delta view. | |

The image will be redacted at all positions in the final document. The PDF structure, in this case, does not contain individual images, but one image that appears in different places. The RedactManager user interface, therefore, only shows one redaction. | |
24. | Why does the panel view in the editor (thumbnail view on the left) show only the annotations of the current and previously visited pages? |
Annotations are loaded on demand (pagewise). That allows the application to load the documents faster because not all annotations have to be loaded when opening a document. The panel view, therefore, only shows the annotations that have already been loaded. If you click on an unvisited page in the thumbnail view, the annotations will be loaded and appear. Click the Load all annotations button in the panel view to load all annotations at once. | |
25. | Why does a browser refresh reset the display in some cases? |
Refreshing the page is equivalent to restarting the app. RedactManager is a single-page web application whose content reloads dynamically (on demand and pagewise). Example #1: The annotations in the editor's panel/thumbnail view are loaded once you visit the respective page or click on a thumbnail. They will be reset when you refresh the browser. Example #2: When you are watching the Preview of your document, refreshing the page will return you to the Standard view. We, therefore, recommend not refreshing the browser. | |
26. | Can I move an active dossier to another dossier template? |
No, that's not possible. | |
27. | How do I edit a dossier template (rule set)? |
Only admins can edit the dossier templates. | |
28. | How can I edit and download dictionaries? |
Users with the manager role can view and download dictionaries in the settings. Only users with the admin role can edit the dictionaries directly. Other users can add dictionary entries by using the Redact in dossier option of the Redact feature in the editor or in the "Edit dossier: dictionaries" tab. | |
29. | How can I download and edit the redaction report templates? |
Users with the manager role can view and download report templates in the Settings section. Only users with the manager role can edit the report templates. | |

You can start reviewing a document once you are assigned as the reviewer. Only dossier members can be assigned as the reviewer. 31. | Where can I see which documents have already been reviewed? |
The status of a document shows you if the document has already been reviewed. Once the review is completed, the reviewer changes the document's status to Under Approval. The status of documents that have not yet been assigned a reviewer is New. The status of documents that are under review is Under Review. | |
32. | How do I change the status of a document? |
Click the checkmark icon in the document features (document list or editor). Users with the reviewer permission can change the status of a document from Under Review to Under Approval. Users with the approver permission can change the status of a document from Under Approval to Approved and back. For further information, please see Change document status. | |

Please check if you are a dossier member yourself. Only dossier members can assign a reviewer to a document. For further information, please see Edit dossier: dossier members. | |
34. | How do I add a manual redaction? |
Select the text passage you want to redact in the document editor, select Redact, and follow the instructions on the screen. You can choose whether to redact the term only at the given position, in the entire dossier or in all active and future dossiers that use the given dossier template. Only users assigned to the document as the reviewer or the approver can create manual redactions, and only users with the approver permission can apply redactions to all dossiers. You must be a dossier member to get the reviewer or approver permission. For further information, please see Add manual redactions and hints. | |
35. | How do I start the reanalysis of a document? |
The reanalysis of a document is triggered automatically and carried out in the background unless you have deactivated the auto-analysis. If the auto-analysis is disabled, you can run the reanalysis manually, or restart the auto-analysis. For further information, please see Stop auto-analysis. | |
36. | Can I restore a deleted dossier? |
As a manager, you can restore a deleted dossier via the Restore feature in the trash. The default retention time is 96 hours and can be changed by the admin. | |
37. | How do I change the category of an image? |
You can change the category of an image by clicking the Recategorize icon that appears below the image marking or in the respective annotation in the workload. For further information, please see Recategorize images. | |
38. | How do I edit the dossier attribute values? How can I create a new dossier attribute? |
If you have the manager role, you can enter and edit the values of the dossier attributes in the Dossier Attributes tab of the Edit dossier dialog. For further information, please see Edit dossier: dossier attributes. | |

39. | How do I become the approver of a document? |
The dossier owner or a manager needs to add you as a dossier member and grant you the approver permission. When users set a document to Under Approval, they can select an approver. 42. | How can I exclude information from redaction if I do not want it to be redacted in any document? |
That depends on whether the redaction is rule- or dictionary-based. | |
A. If the redaction is dictionary-based, choose the "Remove from dossier" feature in the editor to ensure the term will remain unredacted in the entire dossier. Select the "Apply to all dossiers" option if you do not want the term to be redacted in any future or active document. | |
B. If the redaction is rule-based, select "Remove", and, next, select the "False positive" option from the "Remove redaction" dialog. The term will then not be redacted if it appears elsewhere in the same context. It will be redacted in other contexts. If you want the to remain unredacted in any context, access the "Dictionaries" tab in the "Edit dossier" dialog and search the term in the "False Positives" section of the respective dictionary. You will notice that in addition to the term, the context in which you marked the term as a false positive has also been added to the dictionary. Remove the context that has been added to the dictionary so that only the term. The term will no longer be redacted. It is advisable to check the "Type" of redaction before you mark it as false positive; it corresponds to the name of the dictionary you need to go to in the "Edit dossier" dialog. A stored term might not appear in redacted documents for different reasons: | |
A. The OCR output was incorrect. The invisible OCR output does not match the term to be redacted. | |
B. You or another user previously identified the term as false positive. The term now appears in the same context and is therefore not redacted. | |
C. The rules stipulate that the term is only to be redacted in certain cases. | |
45. | Why does RedactManager react very slowly or not at all? |
A. First, check if your internet connection works fine. Try the following options to improve your internet connectivity: Check if you can access other websites. Check your network settings. If you are working in a wireless network (WLAN), switch to a local area network (LAN). | |
B. RedactManager remains unresponsive: In rare cases, issues arise from the interaction between certain internet providers and internet browsers utilizing the experimental QUIC protocol. Try the following troubleshooting option: Disable the QUIC protocol in your internet browser and refresh RedactManager. If you do not find the QUIC protocol in your browser, please refer to your internet browser's documentation or help resources for guidance. |
